PRIVACY POLICY

This Privacy Policy applies to Sedona Estate Pty Lt referred to as  ‘we’ or ‘us’ (ABN 70 395 980 034).

1. What is covered by this Privacy Policy?

This Privacy Policy outlines our information management practices, including how we collect, hold, secure, use and share your personal information. This Privacy Policy covers all services provided by Sedona Estate.

There are some matters to which this policy does not apply. Please refer to the Cookies Statement, section 12 below.

2. What is personal information?

As defined by the Privacy Act 1988, “personal information” means information or an opinion about an identified individual, or an individual who is reasonably identifiable:

(a)  whether the information or opinion is true or not; and

(b)  whether the information or opinion is recorded in a material form or not.

Any time we use the term “personal information” in this policy, we are referring to this definition of the term.

3. What kinds of personal information does Sedona Estate collect and hold and how does Sedona Estate collect it?

We always want to provide you with the highest level of service, so we collect and hold personal information necessary for our business activities with you and to enable us to provide the information, goods or services you are requesting or may be interested in. If we do not collect the information, we may not be able to provide these services.

We collect your personal information directly from you when you activate or use our services, interact with us, either in person, over the telephone or electronically (e.g. via websites, social media posts, chats, telephone, emails and/or SMS) or as otherwise required by law. In general, the personal information collected referred to as contact details includes your name, email address(es), telephone number(s), residential and delivery address(es).

When you register to join the Sedona Estate Wine Club we collect the following information:

  • your contact details including name, email, phone, address;
  • your preferred wine styles;
  • payment card and transaction details (Note: they are collected over the phone AND not stored on any electronic device).

When you shop with us, including online, browse our sites or subscribe to our newsletter:

  • your contact details;
  • information about your orders and purchases, including what, how, and when you buy from us, how you paid for purchases;
  • information collected and held via the encrypted and secure financial system Stripe, Lightspeed or the CBA;
  • like many websites, tracking technologies, such as “cookies”, are used to obtain certain types of information such as application activities, current location of your device (if permitted by you), type and version of your browser, your device ID and other device metrics when you visit our website (see Cookies Statement, section 12 for details);
  • information we collect by the Campaign Monitor (our newsletter provider), for example the current location of your device, type and version of your browser, as allowed by your device permissions. 

When you visit us in person at the cellar door including events or staying at the Vineyard House:

  1. your contact details and any special instructions;
  2. we may ask for your ID, such as your driver’s licence, if you purchase alcohol or when you stay at the Vineyard House (see Terms & Conditions for reservations);
  3. cameras (including security) may record footage and other data which may identify you.
4. Do I have to provide my name?

For many of our services, you generally have the option not to give us your name and can use a pseudonym if you prefer. We may need your real name and a valid ID for specific purposes or where we are required to ask by law.

5. Can I provide someone else’s personal information to Sedona Estate?

Yes, you may provide someone else’s personal information to us, for example,

  • when you purchase a gift or gift voucher for others,
  • place an order on someone else’s behalf.

You must have their consent beforehand.

6. Do you collect my sensitive information?

Sensitive information is a subset of personal information as defined by the Privacy Act 1988. Sensitive information is only obtained with your consent and when necessary to provide a service to you. For example, you may share with us that you are allergic to certain foods/ingredients when eating at our cellar door or attending an event.

7. How does Sedona Estate secure my personal information?

Any personal information we hold is generally stored electronically in computers or cloud systems operated by us or by our service providers. We and our service providers (for example, Myob, Campaign Monitor, Lightspeed, WooCommerce) implement a range of information security measures and encryption protocols when we handle your personal information to protect it from unauthorised access, loss, misuse or wrongful alteration.

We protect your payment card details with encryption and hashing methods. Do not include your full card details when you communicate with us via email, SMS or chat messages. If we have to make a reference to your payment card number, we will only refer to the last four digits in any form of written communications.

Credit card or debit card details provided directly to us by phone or face-to-face by Wine Club members are not stored electronically. For security, this information is kept in a private safe, that is compliant with the regulations for the safe storage of firearms in Victoria.

8. For what purposes does Sedona Estate collect, hold and use my personal information?

We primarily collect, hold and use your personal information to supply, promote and sell wine, goods and services that you have requested, or which may be of interest to you, so that we can improve and personalise your experiences.

In addition, your personal information may be used for the following purposes:

  • Personalisation: To identify your preferences, products, and services that may be of interest to you, and to personalise your experience with Sedona Estate.
  • Communication: To send you offers and other communications that may be of interest to you.
  • Investigation: To assist in responding to your complaints or enquiries and to undertake investigations.
  • Improve our services and customer experience: To analyse performance, improve our systems and improve the usability, functionality and effectiveness of our services.
  • Legal requirements: To comply with legal requirements including liquor licensing and reporting obligations, Sedona Estate must collect and hold your personal information.
9. Who does Sedona Estate share my personal information with and why?

Your personal information is important to us and we are committed on making sure it stays safe.  Our service providers such as, but not limited to, Myob, Lightspeed, CBA, Stripe, Australia Post are part of our business operation to provide the requested service to you. When requesting the service from Sedona Estate, you agree to your personal information being used by these third-party service providers appointed by us.

For example, when you order wine online, we will enter your contact details into the Australia Post portal to send the wine to you. Financial service providers such as the CBA, Lightspeed or Stripe use your credit or debit card details encrypted to process payments. Like us our service providers are governed by the Privacy Act 1988.

In special situations, such as, fraud detection, security protection or police investigations, we would request in writing to share your information with a third party.

10. Marketing Communications

When subscribing to our newsletter or joining the Sedona Wine Club, you agree to receive email communications from us. You have the option to unsubscribe from the newsletter any time.

11. How can I access and correct my personal information?

You have a right to request access to the personal information we hold about you. However, before we provide you with access to your personal information, we may require verification of proof of identity. If you believe that any of your personal information is inaccurate, out of date, incomplete, irrelevant or misleading, please let us know in order to correct  your personal information.

12. Cookies Statement
What are cookies?

A cookie is a small file downloaded onto your device when you interact with any online content such as websites, social media sites and apps. Generally, the information collected through cookies relates to a device used to access online content, such as an IP address or location data about the device (where available and not disabled by the user).

Cookies on our website

If you leave a comment on our site or placing a booking request or placing a wine order or booking our accommodation, you may opt-in to saving your name, contact details and website in cookies. These are for your convenience so that you do not have to fill in your details again in the future. These cookies will last for one year.

When you log in to order wine for example, we will also set up several cookies to save your login information. Login cookies last for two days. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

Embedded content from other websites

Articles on our website may include embedded content (e.g. videos, images, articles etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracking your interaction with the embedded content if you have an account and are logged in to that website.

Who we share your data with?

If you request a password reset, your IP address will be included in the reset email from the website.

How long we retain your data?

If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.
